Ending a client relationship is part of running a healthy firm, whether the fit is wrong, the client is unprofitable, or the risk is too high. Doing it in writing, professionally, protects you: it fixes the date your responsibility ends, closes off billing, and leaves a clean record if there’s ever a dispute.

Use the letter below as your standard disengagement template. Keep it factual and courteous, state the decision, hand over the records, and move on.

Status of current work. As of the effective date, the following work is complete: [list]. The following is in progress or not yet started and will not be completed by us: [list]. We recommend you arrange for these items to be handled by your new provider.

Your records. Your records and documents are available for transfer to you or your new representative. On receipt of your written request (and settlement of any outstanding balance), we will provide [list of records] within [number] business days.

Outstanding fees. Our records show an outstanding balance of [amount], which is due by [date]. A final invoice for work performed through the effective date [is enclosed / will follow].

Transition. We will cooperate reasonably with your new provider to make the transition smooth. Please have them contact us at [contact details].

How to use this termination letter

Fill in the bracketed fields, delete anything that doesn’t apply, and keep the tone neutral, no matter the circumstances. Confirm your professional obligations for records retention and handover in your jurisdiction before sending. Send it in a way you can prove was delivered, and keep a copy on the client’s file.
