Added

  • Client Request Automation - Client requests can now send and chase themselves: pick a send trigger and reminder cadence, let AI sort and name uploaded files for you, and send one batched email per contact instead of one per request. Repeating requests carry it all across every cycle.
  • Job and Subtask Reminders - Add a reminder to any Job or subtask and the right people get notified before it’s due. Reminders carry across duplicated and repeating jobs.
  • Referral Program - Share your link and earn up to $100 per new user. The firm you refer gets 20% off for their first 12 months, all tracked from a new Rewards page in settings.

Improved

  • Reviewable Draft Invoices and Richer Line Descriptions - Invoicing from WIP now creates real drafts on a full-screen review and edit screen, with every client’s draft in one place. Select several at once to approve, send, or reformat their lines in bulk, or work through them one at a time. Line descriptions are richer too: multi-line and bulleted detail, the service description and subtasks pulled in, the option to use the job name as the line title, or to copy a client’s last invoice.
  • Services Catalog - The old Service Types list is now a catalog: set each service to bill hourly, fixed fee, or non-billable, with client-facing descriptions and terms the proposal builder pulls in. Fixed-fee work still tracks time for cost and profitability without clogging your hourly unbilled list.
  • Proposal and Engagement Letter Improvements - Build proposals from your Services catalog and accept on a client’s behalf with a captured signature; accepting now spins up the delivery jobs from your job templates. New proposals also open with a ready-made intro that greets the client by name. Plus suggested signers from the client’s contacts, an auto-generated services-and-fees schedule, smoother sharing and numbering, cleaner PDFs, and the option to delete a proposal once it leaves draft.
  • Initials and Prefilled Fields on E-Signatures - Capture initials as well as full signatures, plus editable sender-prefilled text fields for signers to complete.
  • Redesigned Job View - A two-pane layout with details and conversation on the left and all the properties on the right, with no more page jumps when editing and faster opens.
  • Actual Hours on the Jobs List - A new Actual Hrs column shows time logged per job at a glance, with a drill-down to the entries.
  • Choose When a Repeating Job Recurs - A repeating Job can now create its next occurrence on completion, when it becomes overdue, or a set number of days before it’s due, so recurring monthly work lands on time instead of only after the last one is ticked off.
  • Xero Payment Sync - Invoice payments recorded in Xero now sync back into Tidyflow, so paid status stays up to date without re-keying.
  • Per-Client Default Tax Rates - Set a default tax rate for each client, or import it from Xero or QuickBooks, so it fills in on invoices and proposals automatically.
  • Client Portal Address - Your client portal can now run at your firm’s own address, like yourfirm.tidyflow.com, instead of a generic shared link. Existing links keep working.
  • Easier Login - Sign in with a magic link sent to your email, with your password still available.

A long-overdue update. Two new ways to collect documents from clients: Client Request Checklist Items in the portal, and a no-login Firm Upload Link. Email Management brings Gmail and Microsoft 365 into Tidyflow as a shared inbox alongside your client work. Proposals, Engagement Letters and Payments now run end-to-end in one flow. The first wave of AI is live, including Smart Classification for naming uploaded files. Plus a new Capacity Report, a cleaner UI, and performance work throughout.

Added

  • Client Request Checklist Items - Client request jobs can now include structured checklist items: a file to upload (e.g. “Business chequing statement”) or a question to answer (e.g. “Any unusual transactions this month?”).
  • Firm Upload Link - A single, persistent upload link you can drop into your email signature, a website footer, or anywhere else. Anyone with the link can send files straight into the Files page in your workspace, with no login, no portal account, and no setup per client. A faster way to collect documents from clients who never get round to using the portal.
  • Email Management - A shared inbox for the firm, built into Tidyflow. Connect Gmail (beta) or Microsoft 365 (including the client mailboxes you run for bookkeeping, payroll, or accounting) and every conversation links to the matching client automatically. Assign threads to an owner, draft replies together with internal @ mentions and comments or link it to a job.
  • Proposals & Engagement Letters - Send proposals and engagement letters, get them accepted, and get paid. Future recurring invoices are then created and charged automatically. All in one flow.
  • Payments - Invoices and proposals can be paid online, with cards saved for auto-charge on recurring invoices. Powered by Stripe Connect, set up from within Tidyflow.
  • Artificial Intelligence - The first wave of AI in Tidyflow. A new Assistant can answer plain-language questions about your workspace data (jobs, clients, contacts, invoices, recurring schedules, proposals, payments) within your existing permissions. More AI updates to come.
  • Smart Classification - Tidyflow reads what’s uploaded and suggests the right name and folder for each file. Review suggestions in a dedicated tab and approve, edit, or dismiss them. A fast way to tidy a messy file area.
  • Budget vs Actual Time - The Time report now shows estimated job hours alongside actual time logged, so you can spot jobs running over budget at a glance.
  • Capacity Report - See who has bandwidth for more work, and who’s overcommitted, before assigning the next job.
  • Missive Integration - Create a Tidyflow job directly from any email in Missive, with the subject, sender, and a link back to the conversation pre-filled.

  • Folder Sharing Rights - When sharing a folder with a Contact, you can now choose whether they have view-only access or can also upload to it.
  • App Performance - Various improvements to increase the speed.
  • User Interface - Continued rollout of a cleaner, calmer look across the application, with more consistency between screens.
  • Jobs - Cleaner followers section (including parent-job followers), and full-height comments.
  • Job Board - The board now uses the same filter bar as the list view. Tags, statuses, assignees and search behave identically across both, and toggling between list and board carries your filters across.
  • Automation Rules - Cleaner rule editing experience and more reliable behaviour when one rule cascades into another.
  • Bulk Actions - Cleaner bulk action menus across Contacts, Files and Jobs. Heavier actions now run in the background so you can keep working while they finish.
  • Date Range Dropdowns - Standardised across the app, with more default ranges (last 7 days, last 30 days, this quarter, etc.).
  • Time Tracking - Improved timer on job cards.
  • Default Folder Templates - Set a default folder template to be added automatically when you add a new client.

  • Recurring Invoices - Fixes around scheduling, payment date and auto-send.
  • QuickBooks Online - Clearer error messages and a smoother reconnection flow.
  • 2FA Login - Resolved an issue that stopped some users with two-factor enabled from logging in.
  • Time Reports - Fixed export errors and timezone handling.
  • Timer - Fixed a non-billable toggle issue and a missing icon on the timer control.
  • iOS File Downloads - Further fixes around file and PDF downloads on iOS, including incorrect .html extensions.

  • Magic Link Login for the Client Portal — Contacts can now log in to the portal using a secure magic link, removing the need to remember a password. Links expire after 15 minutes and are limited to 3 uses, protecting against link scanning by email security systems while keeping access secure
  • Signature Request Tracking — A new Files tab in the left navigation gives you a central view of all uploaded files. Select Signature Requests to see the status of every document and resend requests directly from the same screen
  • Bulk Actions on Contacts — Select multiple contacts from the Contacts Index and perform actions in bulk, saving time when managing large client lists
  • UK Client Fields & Companies House Lookup — Set your region to the UK under profile settings to access UK-specific client fields and add or update clients using Companies House data
  • Invoice Reference on Time Entries Report — The Time Entries Report now shows the invoice number against each billed time entry, making it easier to reconcile time with invoices

Improved

  • Electronic Signature Experience — A smoother, more guided signing flow. Signers are now automatically moved to the next field after completing each one, signatures can be uploaded, and the Complete button stays fixed at the top of the screen so it’s always visible. If a signer tries to close the page without clicking Complete, they’ll see a prompt to confirm. Documents also preview correctly on mobile, and the date format on signed documents now respects your region settings
  • Login Experience — Refreshed login flow with a cleaner layout and improved usability
  • File Preview — Faster file loading, an improved preview modal, and a loading spinner so you always know when a file is being prepared
  • Mobile Experience — Better layout for the left menu, file previews, and document viewing across mobile devices

  • WIP Report Filters — Fixed an issue where the Client Groups and Service Types filters only worked when used together. Each filter now works independently

  • Voided Invoice Time Entries — Time entries on voided invoices are now correctly restored to the WIP report instead of remaining marked as billed
  • Set Password on Portal — Resolved an issue where setting a password on the client portal wasn’t working correctly
