This update opens Tidyflow Agent to every firm and adds new ways to get paid sooner, including holding a finished return until its invoice is settled and letting clients save a card for the next one. It also sharpens the everyday work: reminders that stop chasing on their own, a clearer view of what your team has completed, and mobile apps for iOS and Android in beta.
Added
- Tidyflow Agent - Your AI teammate is now open to every firm, with a guided setup that walks owners through turning it on and choosing which clients it may work on. Ask it which clients still owe you documents and have it draft the chasers, chase overdue invoices, set a new client up end to end, or report what each person completed last week. Delegate a whole Job or email thread by assigning or @mentioning it, and it asks for confirmation before anything consequential. See what you can ask it.
- Document approvals (e.g. tax return) locked until invoice paid - Link a document approval to an invoice and the client can see it is ready but cannot open, download, approve or sign it until they have paid. It unlocks the moment payment clears, so the work is delivered and paid for in one step instead of chased afterwards.
- Automatic invoice payment (saved card or bank account) - Clients save a card or bank account when they accept a proposal, or from their portal, and future invoices charge themselves.
- Card Fee Pass-On - US and Canadian firms can pass the card processing fee on to clients, with pay by bank offered free alongside. It never applies to an automatic charge.
- Billing on Job Completion - A proposal line can bill when the delivery Job is finished rather than at acceptance, then invoice and charge on its own.
- Client Statements - Send a client one statement of everything they owe, as at any date you choose.
- Bulk Invoice Send and Download - Email a batch of invoices in one action, and download a selection as one combined PDF or a zip of separate files.
- Signatures Inside Client Requests - Collect a filing authorization such as Form 8879 as a signature in the same request as the return, producing a signed PDF with its audit trail. Signature requests now also appear in the client portal beside their documents.
- Per-Item Client Follow-Ups - Chase one outstanding answer with its own “Ask client” message instead of resending the whole request.
- Confirmation Questions - Ask a client to tick a single statement, such as agreeing to your engagement terms.
- Job Statuses per Service - Limit a status to certain services, so tax and bookkeeping each get their own statuses and board lanes while sharing Completed.
- Service Categories - Group your services into categories, applied wherever you pick a service.
- Owners can set their own rates and capacity - Set your own billable rate, cost rate and weekly capacity from your user page, so capacity and realization reports include the Owner. A one-Owner firm previously had no way to enter them.
- Inbox Rules That Assign Email - Route incoming email to a teammate, or to an agent, as it arrives. When the client replies, the assigned agent picks the thread back up.
- Tidyflow for iOS and Android (Beta) - Companion apps on the App Store and Google Play, included on every plan. They are for your team, not your clients, who carry on using the browser portal: work Jobs, triage the shared inbox, and approve what Tidyflow Agent is waiting on.
- Desktop notifications for new inbox mail - New email in a connected inbox raises a notification from your browser, even when Tidyflow is closed. Enable it per device, choose whether the sender and subject show, and add Tidyflow to your phone’s Home Screen to get the same notifications there.

- Reminders stop after 10 unanswered rounds - The chase stops on its own and tells you, and one click restarts it. Reminders also catch up after a missed day instead of skipping a whole cycle.
- See which requests are still being chased - Reminder state shows on the request list, so you can tell without opening one, and you can filter to the ones that have stopped.
- One Notification per Completed Request - The firm hears nothing while a client works through a request, then gets a single notification when they finish. The completion email now sends.
- Australian Tax Templates - Ready-made income tax return organizers and a client onboarding form for AU firms.
- Invoice a Period from WIP - Filter WIP and the time picker by date range, select all, and raise the invoice straight from your selection.
- Time that cannot be invoiced now says why - WIP and the Time Entries report name the time held back because a Job is fixed fee or non-billable and link straight to it, instead of quietly showing a smaller total.
- See what the team completed - Filter and sort the Jobs list by the date work was finished, drag a Job into a Completed lane on the board, and browse a client’s finished work on their Jobs tab.
- Quarterly repeats keep their schedule - Finishing one late no longer pushes the next one out, and Jobs can be named by quarter and year.
- Reusing Template Checklists - Duplicate a template, insert a template’s checklist into a live Job, and assign a whole subtask section in one go.
- Shareable Job Links - Every Job has a link that survives renames, and the Job panel opens the client directly.
- Clearer Job Completion and Due Dates - Completed Jobs show who finished them and when, and due dates read “tomorrow” or “3 days overdue” beside the date.
- Document Audit Trail - See who viewed, downloaded or approved any document and when, not only signed ones.
- Sharing Files with Clients - Shared files and folders show a Shared badge again, sharing with a contact who has no portal access grants it in the same step, and you can add a message.
- Sender Aliases per Mailbox - Send from a different name or address per shared mailbox, and see who a conversation is assigned to on the row.
- Clear notifications in bulk - Select all now clears the whole backlog, however large it has grown.
- Faster Time Logging - Rebuilt time-logging dialogs, plus quicker filters on the Jobs list and reports with a Clear filters action.
- Instant Comment Reactions - Reactions appear as you click them, and Tab selects a mention.
Fixed
- QuickBooks connections - Healthy connections survive a passing error, dormant ones refresh themselves, and reconnect prompts and invoice number conflicts are explained clearly.
- Portal login links and preview mode - Contacts are told why a login link failed, and previewing the portal no longer changes what the firm sees in its own files.
- Signature fields and signed PDFs - Text fields keep one value, initials place correctly on every page, and signed PDFs render in older browsers.
- Gmail archiving and IMAP sync - Archiving in Gmail mirrors the whole thread, vanished IMAP moves are reconciled, and mailbox counts and the unread badge are accurate.
- Job exports and saved views - Exports include filtered child Jobs, and applying a saved view replaces the current filters instead of adding to them.
- The timer and subtask ordering - The timer saves over the Job drawer, and subtask order sticks when dragging in a template.
- Bulk archiving and client imports - Archiving in bulk handles clients with open Jobs, and import field mappings can be cleared.
- Editing a teammate as an Admin - Role, permission and client-access changes now save instead of being silently dropped.
