Practical prompts for Tidyflow Agent: chase records and overdue invoices, answer WIP and receivables questions, set up repeating work, and update many Jobs in one instruction.

Ask Tidyflow Agent in the Agent chat, or delegate a whole Job or email thread by assigning or @mentioning it. It works with your live workspace: Jobs, clients and contacts, files, connected inbox threads, invoices and payments, time entries, proposals, and Job templates.

Determine missing records and draft the follow-up email

Look at the Q3 records Job for Fernwood Cafe and the email thread with them, and chase whatever is still outstanding.

The agent reads the Job, its checklist, and the linked email thread, identifies what is missing, and prepares the follow-up as a draft in your connected inbox. You review and send the draft. You can also @mention the agent on an inbox thread with “read this thread and chase it”.

Draft the client request for a Job

Draft a records request on the Fernwood year-end Job: last year’s list plus a question about new equipment purchases, and only ask for the financing agreements if they say yes.

The agent drafts the client request sections, upload items, questions, and conditional follow-ups. The request stays hidden from your client until you review and send it from the Job. Follow up with “add a question about equipment purchases to the draft” to extend it before sending.

Find outstanding documents across every client

Which clients still haven’t sent everything we asked for?

The agent reads sent request items and reports who is missing what, including items marked “will provide later”. You can draft the follow-ups in the same conversation.

Check upcoming due dates for missing documents

List every tax return due in the next two weeks that still has outstanding client documents, and draft the reminders.

The agent checks the due window and outstanding items per Job, then prepares one reminder draft per client in your inbox.

Check portal access before chasing clients

For clients with outstanding requests, which contacts do not have client portal access yet?

The agent cross-checks sent client requests with each client’s contacts and portal-access status. It identifies contacts without access, but you enable their portal access from the client record.

Answer WIP, receivables, and cash questions

How much unbilled time do we have by client this month? Who owes us the most right now? What payments came in this week?

The agent answers from live time entries, invoices, and payments: WIP by client, ranked receivables, and cash received by method and date. It can also log, correct, or delete time entries and list your running timers.

Find overdue invoices and draft reminders

List every invoice more than 30 days overdue, and draft a polite reminder to each client referencing their invoices.

The agent pulls overdue invoices by client and prepares one reminder draft per client in your inbox, including amounts and invoice numbers. Nothing is sent until you send it.

Age receivables by how overdue they are

Who is in the 90+ day bucket, and for how much?

The agent splits outstanding balances into current, 1–30, 31–60, 61–90, and over 90 days as of the date you name.

Preview what you’d bill today

What would we invoice Fernwood if we billed everything unbilled right now?

The agent returns the composed lines and totals per client without creating an invoice, using an invoice number, or changing time entries.

Draft invoices based on WIP

Preview invoices for all unbilled time this month, grouped by service. Looks right, create the drafts.

The agent composes invoice lines and totals per client so you can review what would be billed. It creates the drafts only after you confirm, moving that time out of WIP. Drafts are never emailed or synced to your ledger. You review and send them from Billing, and “discard the draft for Harbourline” returns its time to WIP. Drafting is off for the agent by default; an owner enables it in Settings → Agents.

Check recurring invoices are running

Which recurring invoices run in the next two weeks? Are any paused that shouldn’t be?

The agent reads recurring invoice schedules, next run dates, and statuses so you can catch paused schedules before the next billing run.

Find where the month’s write-downs happened

Where did we write down the most last month, by client?

The agent reports billable versus billed amounts, write-ups, write-downs, and realization rate by client, employee, or Job. This requires a plan with the realization report.

Compare quoted fees to logged time

For each client with more than 20 unbilled hours, what did we quote and what have we logged?

The agent compares proposal terms with logged time to help identify scope creep. Ask “which clients are still on proposals older than two years?” to find stale pricing.

Triage the shared inbox

Assign the three client threads to their job owners, snooze the supplier one until Monday, and close the newsletters.

In one instruction, the agent can assign threads to teammates, snooze threads for you, and mark them done. Assignees receive an in-app notification. These actions are internal and reversible. Triage is off for the agent by default; an owner enables it in Settings → Agents.

Turn an email thread into a Job

Turn this thread into a Job for Fernwood with a checklist of the action items in it.

The agent reads the thread, creates a Job for the client, and builds its checklist from the agreed action items.

Find what’s stalled and fix it in one instruction

List Jobs that are overdue or have sat in Waiting on client for more than two weeks, then move the ones waiting on us to In progress and draft chasers for the rest.

Status questions work best when they end in an action: find the stalled work, then reassign, update, or draft the follow-ups in the same instruction. You review the confirmation card before any Job changes. When an answer is a list, the agent can also give you a link to the Jobs, clients, contacts, invoices, proposals, or recurring invoices view with the filters applied: “give me a link to all overdue tax return Jobs assigned to Priya”.

Update many Jobs in one instruction

Move every 2025 tax return Job that is waiting on us to In progress and assign them to Priya.

The agent can apply the same status, assignee, due-date, or tag change across many Jobs. The confirmation card shows the matched Jobs and proposed change before the update. Each change appears in the Job’s activity feed.

Reassign an absent teammate’s Jobs

Sam is off sick this week. List his open Jobs due before Friday and move them to Priya.

The agent lists the person’s open Jobs within the due window, then prepares the bulk reassignment. The Jobs keep their history, and every reassignment appears in the activity feed.

Post a nudge on every stalled Job

Post a comment on every Job still open from last month’s close, mentioning the assignee and asking for a status update by Friday.

The agent can post the same templated comment across many Jobs, add each Job’s details, and @mention the assignee so they are notified.

Clean up Job tags without losing the trail

List our Job tags, rename Awaiting Docs to Waiting on client, and tell me whether Old Tax is still used before deleting it.

The agent can list, rename, and remove Job tags. Renaming a tag keeps it attached to the same Jobs. Deleting a tag is destructive. If the tag is in use, the agent stops unless you explicitly ask to detach it, and you review the confirmation before it proceeds.

See who changed what, and when

Who was assigned to this Job before Priya, and when did it move to In progress?

A Job’s activity stream keeps before-and-after records of status and assignment changes. Ask “what changed across my Jobs since Friday?” for a Monday catch-up.

Compile a client brief before the meeting

Brief me on Harbourline Freight before the 2pm.

One question returns the client’s details, open and overdue Jobs, unpaid invoices, unbilled time, recent uploads, email threads, and notes. Ask “brief me on tomorrow’s three meetings” for several clients. The agent can also answer “what did we agree with Dana last quarter?” from your notes or save a new note for next time.

Turn meeting decisions into follow-up work

For Harbourline Freight, save a pinned note that we agreed to monthly billing from October, create a Job for the transition with a checklist, and draft the follow-up email to Dana.

The agent can turn decisions into a staff-only client note, a Job and checklist, and a client email draft. You review the confirmation card before the Job is created. The email stays in your connected inbox until a person sends it.

Set up a new client end to end

Set up Sundale Physio as a client, deploy our monthly bookkeeping template, and build an onboarding checklist.

The agent can create one client or import a list from a spreadsheet. It can then deploy your Job templates and build the onboarding checklist as Job subtasks. You confirm each client before creation, and client-facing content remains a draft.

Add clients in bulk from a spreadsheet

Read this export from our old system and set up every client on it, with their contacts.

The agent reads the spreadsheet and imports the rows. It creates new clients with their contacts, matches existing clients by name, and fills only empty fields. You review every row before anything is written. Use the same process to migrate a client list or fill missing emails and registration numbers.

Find clients with no open work

Which clients in the Retainer group have no open Jobs this month?

The agent cross-checks clients against open work to find gaps, such as a missing bookkeeping Job or unstarted return. “Which overdue Jobs have no assignee?” finds unowned work. Follow up with a template deployment or email draft in the same conversation.

Wind down a departing client

Fernwood is leaving. List everything open: Jobs, unpaid invoices, unbilled time, and the files we hold.

The agent summarizes the client’s open work, billing, and files in one answer.

Find stale proposals and draft follow-ups

Which proposals have been sitting in sent or viewed for more than two weeks? Draft a follow-up for each.

The agent finds stalled proposals and prepares one follow-up email draft per client.

Draft the proposal and engagement letter

Draft a proposal for Sundale Physio: monthly bookkeeping and quarterly sales tax filings, using our standard services.

The agent builds a proposal draft from your service types and tax rates and previews the totals. The proposal stays a draft until a person reviews and sends it.

Revise a proposal and email draft after feedback

Read Dana’s latest email about the Sundale proposal. Update the draft proposal to replace quarterly sales tax filings with monthly payroll, recalculate the totals, and revise my follow-up email draft.

The agent can read the thread, inspect and update a draft proposal, and revise an existing email draft in the same conversation. It cannot change a sent proposal or send the revised proposal or email.

Prepare the engagement letter for signing

Prepare the engagement letter template for Sundale Physio, with Dana as the client signatory.

The agent prepares your signature template for one client and assigns every signer role. It does not send the request. You review each client and signer assignment on the file page, then send the request from there.

Build a new Job template

Build a monthly bookkeeping template with our standard checklist, repeating on the first business day of each month.

The agent creates the template name, checklist items, client request items, and repeat settings after your confirmation. You can then deploy it to a client or client group.

Create repeating Jobs for every client at once

Build a 1040 template with our standard checklist and repeat settings, then deploy it to every client in the Individuals group.

The agent creates or updates Job templates, then deploys a template to many clients, a whole client group, or every client at once. Deployments run in the background as one tracked operation, and the agent reports progress counts as Jobs are created. On a delegated Job, it posts the final result when the deployment finishes, including any clients that failed. Use this for a new service line, season, or client group.

Track and update the close checklist

What’s still open on the June close for Harbourline Freight? Mark the bank reconciliation item done, I’ve finished it.

The agent builds checklists from your standard steps, reports what is open, and updates items through the normal Job workflow. It tracks the workflow; you still complete the accounting in your ledger.

Log a day of time in one line

Log my day: 2 hours Fernwood year-end, 90 minutes Sundale onboarding, 45 minutes admin.

Each entry is confirmed before it saves. Correcting works the same way: “make the Fernwood entry 3 hours”.

Report each person’s completed work and hours

What did Sam complete this week? How many hours did Priya log against Fernwood Cafe this month?

The agent answers completion questions from Job completion dates and totals logged time by team member. Viewing or logging time for someone else requires the same manage-time permission as the firm app.

Find and fix missing time before billing

Compare the Jobs I completed this week with my time entries. Show completed Jobs with no time logged and entries that are not linked to a Job, then help me add or correct the missing entries.

The agent compares completed work with saved time entries and shows the gaps before changing anything. It cannot guess how long work took, so you provide the missing hours. Creating, correcting, or deleting an entry requires confirmation. The same manage-time permission applies when you ask about someone else’s time.

Check who has capacity next week

Who is overloaded next week, who has room, and which due Jobs could we reassign to balance the work? Show me the plan before changing anything.

The agent combines the capacity projection with each person’s open Jobs, then proposes specific reassignments for you to review. In Agent chat, you confirm the Job changes before they are applied. The capacity projection is available on plans with the capacity report.

Hand over your work before leave

I’m off next week. Reassign my open Jobs to Priya, snooze my threads until I’m back, and post a handover comment on each Job.

The agent prepares the reassignments, inbox triage, and handover notes. Job changes appear in each activity feed. Triage requires the agent’s inbox ability.

Read and retrieve client documents

Read the payroll summary Fernwood uploaded and add the key figures as a comment on their Job.

The agent reads workspace files, including PDFs and images with OCR and spreadsheets row by row. It can summarize the content or post it as a Job comment for your team.

It can also find a file and give you a short-lived download link in chat: “find Fernwood’s latest payroll report and give me the file”. Because the link grants temporary access to the raw file, the agent keeps it out of email drafts, proposals, and Job comments.

Give the agent a Monday routine

Create a repeating Job for every Monday called Weekly firm digest, assign it to the agent, and put the standing instructions in the description.

A repeating Job assigned to the agent runs automatically each occurrence, so digests, checks, and chases do not rely on someone remembering to ask. Use “every Friday, list clients with no open work” for a recurring coverage check. See Give the agent a routine for the full setup.

Choose Agent chat or delegated work

Use Agent chat for questions and actions that span your workspace. Delegate a Job or inbox thread when the instruction belongs to that work and falls within the agent’s assigned abilities and client access.

In chat, changes pause on a private confirmation card before anything is written, and the agent uses your own role and permissions. On a delegated Job, routine creates and drafts apply directly, while consequential changes such as completing Jobs, reassigning work, or deleting records pause on an Approve or Deny card in the Job feed. The agent answers with the access of whoever asked, so billing and time questions need your own billing or time access, and its answers are visible to everyone who can see the Job. For a private answer, ask in Agent chat.

The agent never contacts your clients. Anything it writes for a client stays a draft until a person reviews and sends it. See Review Tidyflow Agent confirmation cards for what to check before approving a change. If AI isn’t on yet for your firm, start with Turn on AI for your firm.

When the agent can’t help

If you ask for something outside its abilities or client access, the agent says so rather than guessing. It can flag the gap for your admins. An owner or admin can widen its abilities or client access in Settings → Agents.
