Client & Contact Management
Get started page for new enquiries
Turn on a public page on your portal address where prospective clients leave their details, and work with the prospects it creates.
The Get started page is a public form on your portal address, for example yourfirm.tidyflow.com/start. Someone leaves their name, email, phone and a short message, and Tidyflow adds them as a prospect and emails your owners and admins. Nothing is published until you switch it on.
Switch the page on
- Go to Settings → Client portal.
- Under Get started page, tick Show the Get started page.
- Edit the Message after sending if you want something other than the default.
- Click Save changes, then copy the link.
The link needs a portal address. If the Link field says “Set a portal address first”, fill in Portal address on the same page and save.
Put the link on your website
Add the link behind a button such as “Request a consultation” or “Get started”. The page shows your logo and firm name, so it works with any website builder; no code or integration is needed. You can also paste the same link into an email after a phone call so the person fills in their details themselves.
Switching the page off in Settings makes the link return a not-found page immediately.
What the visitor sees
A short form: first name, last name, email, phone (optional) and a message (optional). In production the form is protected by a verification step and spam filtering. After sending, the visitor sees your confirmation message.
What happens when someone sends an enquiry
- A new client is created with the status Prospect, with a contact holding the email and phone. The message is saved in the client description.
- If the email already belongs to one of your contacts, nothing new is created. The email you receive names the existing client instead.
- Owners and admins receive an email and an in-app notification with the details and a link to the client. Each person can turn the email off under their notification preferences (Get started page submission).
Prospects sit in your client list with everyone else. Use the Status filter to see only prospects, or turn on the Status column from the list settings to see and sort by it. Open a prospect to send a proposal or a client request in the usual way. Accepting a proposal changes the status to Active; you can also use Mark as active from the client’s menu.
Start onboarding work automatically
To create a Job for every new prospect, add an automation with the trigger A new client is added, the condition Status is Prospect and the action Create a Job from a template. See Automate client onboarding.
