Give the agent a routine
Assign Tidyflow Agent to a repeating Job to give it a standing routine: each occurrence starts the agent automatically on its day, and it reports back in the Job's activity feed.
A repeating Job assigned to Tidyflow Agent is a standing routine. Write the instruction once in the Job’s description, set the repeat, and assign the agent. Every time a new occurrence comes around, the agent starts on it by itself, does the work, and reports back in the Job’s activity feed, the same way it works any delegated Job.
You need agent teammates turned on and an agent set up in Settings → Agents. If that’s new to you, start with How AI agent teammates work.
Set up a routine
- Create a Job (or open an existing one) and write what you want done in the Job’s description. This description is the standing instruction the agent follows every time.
- Set the Job to repeat on the schedule you want, for example every Monday.
- Assign the agent to the Job, the same way you’d assign a person.
That’s it. You can also assign the agent on a Job template that repeats: every Job deployed from that template carries the agent as an assignee, and each of its occurrences runs as a routine for that client.
When each run starts
Each new occurrence of a repeating Job assigned to an agent starts the agent automatically on the day that occurrence begins: its start date, or its due date if it has no start date. The run begins from midnight in your workspace timezone, and Tidyflow checks every hour after that, so an occurrence is never missed even if it was created later in the day. A Job with no start or due date starts the agent as soon as it’s created.
Each occurrence gets exactly one automatic run. A Job the agent has already worked on is never restarted by the schedule, so completing today’s occurrence doesn’t set the agent off on the same Job again. If you want the agent back on a Job it already finished, @mention it in a comment on that Job.
Example: a weekly firm digest
Create a Job called “Weekly firm digest” that repeats every Monday, assign the agent, and put the instruction in the Job description:
Post a comment on this Job summarizing: every overdue Job and who it’s assigned to, unbilled time by client, and every invoice more than 30 days overdue.
Every Monday the agent starts on the new occurrence, pulls the live numbers from your workspace, and posts the digest as a comment on the Job. Anyone following the Job gets it, and the week starts with the same picture in front of everyone.
Example: a Friday records chase
Create a Job called “Friday records chase” that repeats every Friday, assign the agent, and describe the routine:
Check every open record-collection Job. For each client with items still outstanding, prepare a chasing email draft listing what we’re still waiting on.
Every Friday the agent reviews the open record-collection Jobs, works out which clients still owe documents, and prepares one chasing draft per client in your connected inbox. It reports what it prepared on the Job, and you review and send the drafts that should go.
What a routine can and can’t do
A routine follows the same rules as any agent session. The agent never contacts your clients: anything written for a client is prepared as a draft, and a person reviews and sends it. The agent acts within the abilities and client access set for it in Settings → Agents, and everything it does shows in the Job’s activity feed.
Pause or stop a routine
- To stop one routine, unassign the agent from the repeating Job. Future occurrences won’t start it.
- To stop every routine at once, pause the agent in Settings → Agents. A paused agent is skipped when occurrences come due, and no new runs start until it’s resumed.
- To stop a run that’s in progress, click Stop on the agent’s presence bubble on the Job.
