Folder templates

Set up a standard folder structure once and apply it to any client, in bulk, or automatically when a new client is added.

A folder template is a reusable folder structure for a client’s files, for example Permanent, Workpapers, and Tax with a subfolder per year. You build the structure once, then apply it to one client, deploy it to many clients at once, or have Tidyflow apply it automatically to every new client.

Create a folder template

  1. Go to Settings and open Folder templates
  2. Click the + button in the top right and give the template a name, for example “Standard client folder structure”, then click Create template
  3. Open the row menu on the template and choose Edit
  4. Under Folder structure, click Add folder to add top-level folders, and use the add button on a folder to nest subfolders
  5. Click Done

Apply a template to one client

  1. Open the client and go to their Files tab
  2. Open the menu and choose Folder Templates
  3. Click Apply Template on the template you want

The folders are created inside the folder you are currently viewing, so open the client’s root Files view first if you want the structure at the top level. Applying a template only creates folders; it never moves or changes existing files.

Deploy a template to many clients at once

  1. Go to Clients and select the clients using the checkboxes
  2. In the selection toolbar, click Deploy folder template
  3. Choose the template under Select Template, review the Deployment Summary, and click Deploy Template

Apply a template automatically to new clients

Open the row menu on a template in Settings under Folder templates and choose Set as default. The template shows a Default badge, and every client you add from then on gets the structure automatically. Choose Remove default to stop; existing clients keep their folders either way.

Edit or delete a template

Edit and delete live in the same row menu. Changes to a template only affect future applies; folders already created for clients stay as they are, and deleting a template does not remove any client folders.
