Job & Workflow Management
Export Jobs
Download a report of your current Jobs view or request a workspace-wide Excel export with subtasks, descriptions and comments.
Use Export to Excel on the Jobs page for a report matching your current view. Workspace owners and admins can also request a broader export in Settings → General → Data export.
Download the current Jobs view
- Open Jobs and apply the filters and sorting you need.
- Open More options (the three-dot menu above the list) and select Export to Excel. On mobile, open Filters to find Export to Excel.
- Keep Current columns, selected by default, to use your saved column selection and order. Choose All list columns to include every column applicable to this view, including hidden columns, in your saved order.
- Select Download Excel.
The Excel report includes every matching record across all pages that you have permission to view. The Name column is always included. Columns hidden only because your screen is narrow are still exported when they are part of your saved selection.
The Date column uses the extended deadline when there is one. Dates are spreadsheet dates, hours are numeric values, and subtask progress stays readable as text, such as 3 / 5. Subtask names include their parent Job for context. The Client Requests view exports request statuses and the optional Auto follow-up column.
To include completed Jobs or subtasks in the list export, first include them in the Jobs view. See Customize and filter the Jobs list. For descriptions and comment bodies, use the Settings export described below.
From board view, select Export to Excel, then Download Excel. The report uses all standard Jobs list columns in their default order, follows the board filters and includes each matching Job once.
If the download fails, the export window stays open with an error. Select Download Excel to try again.
Export workspace-wide Jobs from Settings
Workspace owners and admins can export Jobs beyond their saved views and current filters.
- Open Settings → General and find Data export.
- Select Export beside Jobs.
- Wait for confirmation that the request was accepted. Tidyflow emails you when the export is ready.
- Open the email and select Download Excel. Sign in with the account that requested the export.
The download link expires after 72 hours. Only the account that requested the export can download it, and you must still belong to the workspace and have permission to use Data export. If the link has expired or the file is no longer available, return to Settings → General → Data export and select Export beside Jobs to request a new export.
If the export cannot be completed after retries, Tidyflow emails you a link to Settings so you can request another one.
What the Settings Jobs export contains
The workbook includes existing Jobs, subtasks and client-request records, including completed work, historical recurring occurrences and records for archived clients. Current Jobs-page filters and column settings do not limit it.
| Worksheet | Contents |
|---|---|
| Jobs | Job fields, descriptions, client details, dates and stable identifiers |
| Subtasks | Subtask fields, parent Job identifiers, sections and ordering |
| Client requests | Request records, descriptions, status, follow-up information and parent relationships |
| Comments | Record-level comments, their authors, timestamps and related record identifiers |
| Export details | Workspace, requester, generation times, timezone, counts and exclusions |
| Long text | Ordered continuation parts when text is too long for a spreadsheet cell; included only when needed |
Original, extended and effective due dates are preserved separately. Descriptions and comments retain readable text, links and line breaks. Use identifiers to distinguish records with the same name and connect subtasks and comments to their Jobs.
Templates, deleted records, client-request questions and answers, discussions on individual questionnaire items, system activity and attachment files are excluded. For files, use Export beside Files and folders in the same Settings section. See Uploading and downloading files.
The workbook is a readable export. It cannot be used to restore records into Tidyflow.
