Job Statuses

Job statuses track where each Job has got to. Your firm defines them, so they can match the language your team already uses.

Every Job has one status at a time, or none. Statuses appear as a badge on the Job, as a column on the Jobs board, and as a filter on the Jobs list.

Where to manage job statuses

Go to Settings, then Job statuses under Customise, at https://app.tidyflow.com/job-statuses.

From there you can:

  • Select New status to add one
  • Select a status name to rename it or change its colour
  • Drag the handle at the left of a row to change the order
  • Use the row menu to delete a status

The order you set here is the order the columns appear in on the Jobs board.

New workspaces start with Ready to Start, In Progress, Waiting and Completed. The number of statuses you can create depends on your plan. See tidyflow.com/pricing.

Why the Completed status cannot be renamed or deleted

Completed is the one status Tidyflow treats as finished work, so it cannot be renamed, deleted, or limited to particular services. You can still change its colour.

Completing a Job is what closes it on reports, creates the next Job in a repeating series, and settles any billing that was waiting on the work. If Completed could be renamed or removed, none of that would know when a Job was done.

If your team says something else at the end of a workflow, such as “Filed” or “Sent to client”, add that as its own status and place it just before Completed.

Limit a job status to specific services

A status can apply to every Job, or only to Jobs delivering particular services. This lets tax preparation and bookkeeping each have their own statuses, instead of one long list where most options do not apply.

Limiting a status to services is available on the Pro plan. See tidyflow.com/pricing.

To limit a status:

  1. Go to Settings, then Job statuses.
  2. Select New status, or select an existing status to edit it.
  3. Under Available for, choose Selected services.
  4. Choose one or more services.
  5. Select Save.

The Services column on the Job statuses page shows what each status applies to. Statuses that apply everywhere show All services.

For example, a firm might add Awaiting 8879 and limit it to their tax return services, and Bank feeds reconciled limited to bookkeeping. Shared statuses such as In Progress stay available to both.

What a limited status changes for your team

Once a status is limited to services, it only appears where it applies:

  • The status list on a Job offers it only when that Job delivers one of those services
  • A Job with no service set sees only statuses available for all services
  • On the Jobs board, its column appears when you filter to one of those services, and when it still holds Jobs
  • When you change the status of several Jobs at once, it is unavailable if any selected Job cannot use it

Nothing already recorded changes. Jobs keep the status they have.

What happens when a Job changes service

Tidyflow never clears a status you have already set. If you change a Job’s service and its current status does not apply to the new service, the Job keeps that status and it appears dimmed at the top of the status list.

You can leave it, or pick a status that applies to the new service. Until you change it, the Job still appears in that status everywhere it did before, including on the board.

Why a limited status shows “No services selected”

A status shows No services selected when every service it was limited to has since been deleted.

That status now applies to no Jobs, so nobody can select it. This is deliberate: widening it back to every service would quietly put it in front of teams who never chose it.

To fix it, edit the status and either choose services that still exist, or set it back to All services.

If your plan no longer includes service limits

Limits you have already saved keep working. Jobs continue to offer only the statuses that apply to them, and your board keeps behaving the same way.

What changes is that the Available for field becomes read-only, so you cannot create a new limited status or change which services an existing one uses. You can still rename statuses, change their colours, reorder them, and delete them without affecting the limits already set.
