Client & Contact Management
Organize clients into groups
Client groups sort your clients into sets such as Individual, S-Corporation or Monthly Bookkeeping. A client can belong to several groups. Groups filter the Clients and Jobs lists, Revenue Insights and other reports, and can limit which clients a Standard user or agent teammate sees.
Create a client group
Open Settings > Client groups and click New client group. You can also click Manage groups in the Client groups filter on the Clients page to open the same list in a side panel. Both show how many clients are in each group, and that is where you edit or delete a group.
Group pickers also create groups: type a new name into the client groups picker on a client, in Add client or in the bulk update, and choose Create group. The number of groups you can create depends on your plan; see pricing.
Add one client to a group
Open the client and set its Client groups field on the overview, or choose groups when you add the client. To group clients as you import them from CSV, map a column of group names to Client Groups; see Add a Client.
Add many clients to a group at once
- Open Clients.
- Use the Client groups filter to narrow the list, for example to No group.
- Select clients, or use the checkbox in the table header to select the current page. To include every matching client across pages, choose Select all … results.
- Click Client groups in the selection toolbar.
- Choose Add, Replace or Remove, then pick the groups.
- Click the Update button, which shows how many clients will change.
Add keeps each client’s existing groups, Replace swaps them for the groups you pick, and Remove takes the picked groups off. Large updates run in the background and the Clients list shows their progress.
Find clients with no group
On the Clients page, open the Client groups filter and choose No group. The list then shows only clients that are not in any group, ready to select and add to a group. In Reports > Revenue Insights, the matching option is Ungrouped clients.
Ask Tidyflow Agent to group clients
Tidyflow Agent can create and rename groups and add, replace or remove groups for a list of clients, every client with no group, or everyone in another group. For example: “Put every client that isn’t in a group into Individual.” You confirm each change first. See What you can ask Tidyflow Agent.
Limit who sees a client group
On the Pro plan, a Standard user’s client access can be limited to selected client groups. See Understanding User Roles and Permissions.
