Reporting & Insights

Reports overview

The built-in reports for time, billing, receivables, realization, revenue, and team capacity, and who can see each one.

Reports live under Reports in the left sidebar. Each report has its own filters, and reports can be exported to Excel for further analysis.

What each report shows

Looking for unbilled time? WIP is not a report; it lives in the left sidebar under Billing, where you can review unbilled time and turn it into invoices.

Who can open each report

  • Time Report and Time Entries Report: any team member with report access
  • Aged Receivables Report: users who manage billing
  • Billing Report, Billing realization, Revenue Insights, and Capacity Report: workspace owners and admins

The Billing realization report, Revenue Insights, and Capacity Report are included on the Pro plan. On other plans they appear in the list with an Upgrade link; see pricing for what each plan includes.

Filter and export Revenue Insights

Open Reports → Revenue Insights, choose a date range, then select Client groups. Choose one or more groups, or Ungrouped clients for clients with no group. A client in several selected groups is counted once. Client groups apply to the whole client; use the Service Type filter to separate work such as tax preparation and bookkeeping for the same client.

You can combine client groups with client, service type and team member filters. These filters apply to both comparison periods, the trend chart, all breakdowns and concentration risk. Group membership reflects the client’s current groups.

Select Export Excel to download the filtered summary, trend and breakdowns by client, service type and team member. The workbook includes the selected filters, reporting periods and currency.

How billing and revenue amounts are calculated

Revenue Insights and the billed column in Billing Report use invoice issue dates and include tax. Voided and deleted invoices are excluded. Use Exclude Drafts to remove draft invoices too. Revenue Insights compares the selected dates with the same number of days immediately before them.

Invoice lines linked to several time entries are divided by recorded hours, or equally when the entries have no hours. Lines without time entries use the invoice line’s service and appear under Unassigned for team members. Amounts without a service appear under Unclassified. Service and team member filters include only the matching share of each invoice.

Billing Report hours and unbilled amounts use the time-entry date. Unbilled amounts include time eligible for hourly invoicing; written-off, no-charge, non-billable and fixed-fee Job time are excluded from that amount.

Aged Receivables shows invoice balances as of your chosen date. Only successful payments dated on or before that date reduce the balance. Processing and failed payments do not. Draft and voided invoices are excluded.

These reports show amounts in your firm’s billing currency, using exchange rates for the invoice issue date. Billed revenue and outstanding balances are different from bank deposits. To reconcile Stripe deposits, use Stripe’s payout details to account for payment timing, processing fees and refunds.

Export reports and lists to Excel

Reports export to Excel, so you can build your own analysis or share numbers outside Tidyflow. Client, contact, Job, invoice, and time log lists have their own Excel exports as well. See Export Jobs for a report matching your Jobs view or a workspace-wide Jobs export from Settings.
