Client & Contact Management

Add a Client

Add clients one at a time, or import your client list from a CSV or Excel file, Xero or QuickBooks Online.

Add clients one at a time, or import your whole client list from a spreadsheet, Xero or QuickBooks Online.

Add a client manually

You can open the new client form in two places:

  • On the Clients page, click the + button at the top right of the client list and choose Client. If you have no clients yet, click Add client.
  • From any page, click the chevron beside the + button at the top of the sidebar, then choose Add new client. Clicking the + itself runs the default action for the page you are on, which opens the new client form only when you are on the Clients page.

Enter the client’s Name and any other details, then click Create. Tick Prospect for someone who has not engaged you yet; they get the status Prospect, which you can filter on, and they become Active when they accept a proposal or when you choose Mark as active from the client’s menu. You can add contacts to the client afterwards from its Contacts tab; see Clients and contacts.

Prospective clients can also add themselves through your Get started page.

Australian workspaces can also add clients with official details prefilled from the Australian Business Register; see Look up Australian clients by ABN. United Kingdom workspaces can do the same from Companies House; see Add UK clients from Companies House.

Import clients from a CSV or Excel file

If your client list already lives in a spreadsheet, import it rather than retyping it.

  1. Open Clients, click the + button at the top right of the client list, and choose Import clients from CSV. If you have no clients yet, click Import clients.
  2. In the Import Clients window, click Download a sample CSV file if you want a template with the expected columns. Your file can be CSV or Excel, and its first row must contain column headers.
  3. Click Click to upload, or drag your file onto the upload area, then click Next.
  4. Check the preview of your rows, then click Next.
  5. On the Map Fields step, check which Tidyflow field each column maps to. Tidyflow matches columns automatically where it can; click Auto-detect mappings to run the matching again. Map a column to Client Name, which is required. Leave any column you do not need as Skip this column.
  6. Click Start Import. Tidyflow shows progress, then a summary of the results.

A client CSV import can also create one contact per row from the contact columns, such as Contact First Name, Contact Last Name and Contact Email, and link that contact to the client. When a row’s client name matches an existing client, Tidyflow fills in only that client’s empty fields and leaves existing details unchanged.

To put imported clients into groups, add a column with each client’s group names separated by commas and map it to Client Groups. The groups must already exist in Settings > Client groups. A client that is already in Tidyflow only gains groups if it has none. To group clients after they are added, see Organize clients into groups.

Import clients from Xero or QuickBooks Online

If your clients are already in your accounting software, import them from there instead. On the Clients page, click the + button and choose Import clients from Xero or QuickBooks. This opens the Integrations page, where you connect the integration and import your clients. See Xero integration or QuickBooks Online integration for the steps.
