TaxDome has replaced its per-seat plans with one plan priced by active clients. We read the new pricing page on 3 November 2026. This post sets out the tiers, what counts as an active client, when the change reaches existing customers, and what it means in dollars for firms of different shapes. We make Tidyflow, a competing product, so the comparison at the end is ours; the TaxDome numbers come from taxdome.com/pricing.
What changed
Until this change, TaxDome sold three per-seat plans, billed a year upfront: Essentials at $800 per user per year (solo firms only), Pro at $1,000 and Business at $1,200, with discounts for two- and three-year terms.
Now there is one plan. You pick the number of active clients you serve, and the price follows that number. Every tier includes 20 seats, so a team of one and a team of 20 pay the same for the same client count. Billing is still annual and paid upfront. The multi-year terms are gone.
| Active clients | Per year | Per client per month |
|---|---|---|
| Up to 150 (minimum) | $1,500 | $0.83 |
| 400 | $4,125 | $0.86 |
| 500 | $5,175 | $0.86 |
| 1,000 | $9,000 | $0.75 |
| 1,500 | $11,625 | $0.65 |
| 2,000 | $13,500 | $0.56 |
| 2,500 | $15,600 | $0.52 |
| 3,000 | $16,500 | $0.46 |
Clients beyond 150 are priced in volume bands, from $15 each down to $5, which is why the per-client rate falls as the book grows. Above 20 seats or 3,000 clients, TaxDome quotes a custom price with unlimited seats, premium support and a dedicated account manager.
Add-ons are priced separately: AI (document organization, AI return delivery, API and MCP access) at $200 a month for the whole firm, Managed Client Care at $100 a month, and premium support at $249 a month.
What counts as an active client
TaxDome defines an active client as any client with activity in the past 12 months: logging in, uploading documents, sending messages or receiving an invoice. Contacts with no activity cost nothing.
For a tax firm that definition is broad. A 1040 client who signs an engagement letter in January and receives an invoice in March is active, even if they never log in again. If you run 700 returns a year, expect roughly 700 active clients plus your monthly bookkeeping clients, not the smaller number who use the portal regularly. TaxDome counts each client account on its own: its own example is a person with a personal return and a partnership return, who counts as two active clients.
When it starts
New customers pay the per-client price now. For existing customers, TaxDome’s page says nothing changes today: you keep your plan and price until your first renewal on or after 1 January, when you move to the new pricing, and your account team will share details before the renewal.
So the date that matters is your renewal date. A firm that renewed in October 2026 has until October 2027 at the old price. A firm that renews in February 2027 moves to per-client pricing in the middle of tax season.
Worked examples: old price against new
The table compares the old one-year per-seat list price with the new per-client price for the same firm. Essentials was solo only, so firms of two or more are shown on Pro.
| Firm | Old per-seat price | New per-client price | Change |
|---|---|---|---|
| Solo, 150 clients | $800 (Essentials) | $1,500 | +88% |
| Solo, 400 clients | $800 (Essentials) | $4,125 | +416% |
| 2 people, 1,000 clients | $2,000 (Pro) | $9,000 | +350% |
| 5 people, 400 clients | $5,000 (Pro) | $4,125 | -18% |
| 5 people, 1,000 clients | $5,000 (Pro) | $9,000 | +80% |
| 10 people, 1,000 clients | $10,000 (Pro) | $9,000 | -10% |
| 20 people, 1,500 clients | $20,000 (Pro) | $11,625 | -42% |
The pattern is simple. The new plan charges for the size of your client list, not your team. Large teams with modest client lists pay less. Small teams with large client lists, which describes most solo preparers and small 1040 practices, pay several times more.
What to do before your renewal
- Find your renewal date. It sets your deadline. If it falls inside tax season, decide before January, because nobody wants to migrate in March.
- Count your active clients the way TaxDome does. Use the 12-month activity definition above, not your portal login count. Merge duplicate client accounts, since each account counts.
- Price the new tier plus add-ons. If you rely on AI document organization, add $200 a month. Compare the total with what you pay today.
- Decide whether per-client pricing fits your firm. If your team is large relative to your client list, the new plan may be a saving and the decision is easy. If you are a small team with a large book, compare per-user tools before you renew.
How Tidyflow compares
Tidyflow charges per user, whatever your client count, and bills monthly or annually with no seat minimum. Core is $39 a user a month ($29 billed annually) and Pro, which adds conditional organizer questions, document approvals with signature steps and capacity planning, is $69 ($55 billed annually). Both include the client portal, client requests with automated reminders, ready-made US organizers for Forms 1040, 1120-S, 1065, 1120 and 1041, e-signatures, proposals and engagement letters, invoicing with card and ACH payments, and Tidyflow Agent.
The same firm shapes on annual billing:
| Firm | Tidyflow Core | Tidyflow Pro | TaxDome per-client |
|---|---|---|---|
| Solo, 400 clients | $348 | $660 | $4,125 |
| 2 people, 1,000 clients | $696 | $1,320 | $9,000 |
| 5 people, 400 clients | $1,740 | $3,300 | $4,125 |
| 5 people, 1,000 clients | $1,740 | $3,300 | $9,000 |
| 10 people, 1,000 clients | $3,480 | $6,600 | $9,000 |
| 20 people, 1,500 clients | $6,960 | $13,200 | $11,625 |
Per-user pricing favors small teams with big client lists, which is the firm shape the TaxDome change hits hardest. For a 20-person team on Pro, TaxDome’s per-client price is lower, and TaxDome still has the deeper CRM pipeline and in-portal client chat (client messaging in Tidyflow is coming soon). The full feature comparison is in Tidyflow vs TaxDome, and the wider field is in TaxDome alternatives.
If you decide to move, plan the cutover around your renewal date and outside January to April. Most firms finish in-flight TaxDome work, import clients into Tidyflow, and run the next season from one system. A 14-day trial needs no card.
